Job Title: Service Coordinator

Location: Phoenix, AZ

Overview: Join our Phoenix team as a Service Coordinator, a pivotal role ensuring the smooth operation of our commercial HVAC service office. You'll be at the heart of coordinating customer service excellence, technician scheduling, and administrative tasks. Working closely with our leadership team, your efforts will optimize technician dispatch for installations, repairs, maintenance, and warranty services, contributing to our commitment to outstanding service delivery and customer satisfaction.

Responsibilities:

  • Coordinate with management to schedule and dispatch technicians efficiently, aiming for the highest levels of operational effectiveness and customer satisfaction.
  • Address customer queries swiftly, route technical questions to appropriate personnel, and keep customers informed about service progress.
  • Oversee technician schedules, job initiations, and follow-ups, ensuring service excellence.
  • Manage invoicing, accounts payable/receivable, and customer payments to maintain financial health.
  • Close out work orders, ensuring paperwork is complete and accurate.
  • Oversee warranty processes, parts ordering, shipment tracking, and inventory accuracy.
  • Ensure precise data management in our Enterprise Resource System for billing and operational efficiency.
  • Maintain compliance logs, office supplies, and equipment, ensuring a well-organized workspace.
  • Support new hire onboarding in collaboration with HR, handling paperwork and orientation.

Qualifications:

  • High School Diploma or GED.
  • 3-5 years of experience in commercial HVAC or related MEP services.
  • Proficiency in Microsoft Office and excellent communication skills.
  • Strong organizational, problem-solving, and customer service skills.

Preferred:

  • Bachelor's degree or equivalent experience.
  • Experience with service management software like Astea is a plus.
