Job Summary
Join a dynamic team as an HVAC Project Administrator in Phoenix, AZ, where you'll be integral in coordinating and administrating commercial HVAC projects. This role is ideal for a detail-oriented professional with experience in commercial mechanical construction. You’ll support project managers and field teams to ensure seamless project operations, maintain documentation, and provide high-level client service.
Responsibilities
- Project Coordination: Support project managers in scheduling, tracking, and coordinating HVAC projects, including installation, maintenance, and service.
- Documentation & Compliance: Manage and organize project documents, including permits, contracts, and submittals, ensuring they meet compliance standards and are readily accessible.
- Client & Vendor Communication: Act as a point of contact for clients and vendors, managing inquiries, resolving issues, and facilitating smooth communication.
- Budget Tracking & Invoicing: Assist with project budget monitoring, processing invoices, and preparing cost reports to ensure financial targets are met.
- Scheduling & Dispatch: Work closely with dispatchers to allocate resources effectively and coordinate field technician schedules to meet project timelines and client expectations.
- Experience: Minimum of 3+ years of administrative or project support experience within a commercial mechanical contractor setting.
- Local & Stable Work History: Proven track record with a stable employment background in the local Phoenix area.
- Technical Proficiency: Familiarity with project management software, Bluebeam, MS Project, and construction-specific tools.
- Detail-Oriented & Organized: Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Communication Skills: Excellent written and verbal communication skills, with a client-focused approach to service.
